Outcomes/Goals
- Create and manage invoices, purchase orders, and other accounting and administrative documents and reports.
- Satisfactory vendor and client relations.
- Ensure all HR policies are complied with, including training, lunch breaks, time tracking, and other policies.
Tasks, Authority, and Liability
- Prepare purchase orders, invoices, and other accounting and administration documents and reports.
- Understand and communicate contractual agreements with utilities, suppliers, contractors, and customers.
- Understand and communicate company policies and procedures.
- Analyze, track, and report on personnel- and facility-related data.
- Help maintain staff area, purchase supplies and maintain a professional and clean facility.
- Partner with Human Resources and promptly report safety hazards to reduce liability and create a safe work environment for employees by recommending preventative measures.
- Act as the primary, internal point of contact, coordinator, and scheduler for the delivery of feedstock from waste generators and/or other related materials to the biogas sites.
- Coordinate with site leaders to ensure feedstock product delivery constraints, shipping schedules, and operational capabilities are accurately represented, and communicated in real-time and in a weekly forecast.
- Act as the point of contact concerning feedstock product quality issues. Report and escalate issues to internal and/or external stakeholders as appropriate.
- Communicate any changes in expected feedstock delivery dates, quantity, etc. to internal and/or external stakeholder(s) in a timely manner.
- Monitor inbound logistics based on processing times, site operational metrics, and capacity, as well as feedstock material adherence to policy and plant requirements.
- Ensure tracking and documentation of inbound material, including the gathering of information required by various feedstock vendors.
- Process non-conformances and holds from feedstock provider(s), coordinate responses and diversion of feedstock material when applicable. Communicate non-conformance examples to suppliers and generate report summaries.
- Assist with overall feedstock origination and procurement; provide input on economic viability and contractual requirements for third-party suppliers.
- Track contractual requirements including contract lifecycle and critical dates.
- Identify opportunities for process improvement and participate in efforts to improve efficiency and/or reduce operating costs.
- Vendor management, including the oversight of NDAs, T&Cs, and warranty claims.

Competencies/Qualifications/Experiences
Education: bachelor’s degree preferred. 5 years of progressive relevant experience may be accepted in lieu of degree.
Experience: At least 2 years in construction or project site administration, industrial office management, construction/project accounting and/or Human Resources in a relevant field (waste treatment, construction, industrial manufacturing, etc).
